Work

Automations

Every task change runs through these rules. Approvals create installs, activations create recaps, hospitality gets its lead time, blockers escalate, and late work is chased. The team spends its time on the partnership, not on remembering the next step.

Rules

Action items roll up to the task

0 fired
WhenThe last action item on a task is checked off
Applies toEveryone with an item on the task has done their part
Then
• Move the task to To be verified
• Tell the task owner it is ready for their review
Why it helps: The person who owns the workstream signs it off; the people doing the pieces just tick their items.

Approvals unlock the next step

0 fired
WhenAn approval task moves to Done
Applies toCBI signs off creative, or the rights holder approves it
Then
• CBI sign-off: move the rights-holder submission to In progress (or create it)
• Rights-holder approval: create an install / go-live task due in 7 days for the Group Assistant
• Notify whoever owns the next step
Why it helps: Nobody has to remember that approved art still needs to be printed, shipped and installed.

Every activation gets a recap

0 fired
WhenActivation task moves to Done
Applies toWatch party, theme night, sampling or game-day activation is complete
Then
• Create a Flash recap Report due in 2 days
• Attach the recap checklist (photos, counts, send to CBI)
• Notify the Account Executive
Why it helps: Recaps are what prove value at renewal. This makes them automatic, not optional.

Hospitality gets its lead time

0 fired
WhenHospitality task is created
Applies toSuite night, ticket allocation or ticket bank use is scheduled
Then
• Ticket bank: create a request task 30 days ahead (contract notice rule, Sch. 2.2)
• Other hospitality: create a guest list + F&B task 7 days ahead
Why it helps: Contract notice periods and catering cut-offs are easy to miss; missed ones are forfeited value.

Recaps close the loop

0 fired
WhenReport task moves to To be verified or Done
Applies toA recap or report is submitted
Then
• To be verified: ask the Account Director to review
• Done: log the asset's new fulfillment %
• All tasks done: mark the asset fulfilled
Why it helps: Fulfillment rolls up from evidence, so the delivery % on every dashboard is earned, not typed.

Blocked work escalates

0 fired
WhenA task is flagged as blocked
Applies toAnything is waiting on a rights holder, vendor or approval
Then
• Raise priority to Highest
• Escalate to the Account Director
• Show it in Needs attention
Why it helps: Blockers surface the same day instead of in next week's status call.

Daily overdue check

0 fired
WhenDaily check runs (on open, or on demand)
Applies toA task is past due and not done or awaiting verification
Then
• Raise priority to High and notify the assignee
• Over 7 days late: escalate to the Account Director

Applies toSomeone new owns the work
Then
• Notify the new assignee with the asset and contract reference
Why it helps: Ownership changes are visible without a separate email.
